Invitation Letter

Visa

Participants are responsible for organizing their own Visa. See above information on the process to be followed to avoid issues upon arrival.

Entry Documents

It is the responsibility of each participant to check and issue their entry documents (e.g. VISA) on time to participate in the event.

Insurance

It is mandatory that all athletes and officials have their own liability and medical insurance. The AVC will not be held responsible for any medical expenses incurred while competing in the tournament.

Team Registration

NFs must both register teams through FIVB Online Registration System at www.fivb.org/vis/ and submit the following documents to the organizer and AVC Beach Department within 30 April 2026:

  • Entry form
  • Rooming list
  • Participants' passports
IMPORTANT: Otherwise, the teams will not be eligible to participate in the event. If the federations have any problems registering teams in VIS system, please contact AVC Beach Department for further assistance.

Player's Eligibility

Only players who have sent to the AVC and the organizer the required forms, and register in the VIS system will be considered eligible to take part in this event.

Coach Regulations

  • A test phase allowing coaching at the field of play during all AVC events, similar to the FIVB protocol, will be implemented.

Forfeit & Withdrawal

Each NF is responsible for informing immediately both the AVC and organizers in case of forfeit of an enrolled team. Such withdrawal shall be sent to AVC and organizer at least 3 days before the tournament starts. In case of urgency, verbal communication to either AVC or its official on-site will be accepted.

Main Draw Teams

Pool play followed by single elimination tournament (Round of 16, QF, SF, and Finals)

Max Teams per NF

Maximum 2 teams per gender per National Federation. Host NF can enter up to 3 teams.

In case the Main Draw is not full (less than 24 teams), the reserve team from Host and the reserve team(s) with the most entry points as of -35 days among all participating NFs' reserve teams will be selected to fill the Main Draw.

Entry & Seeding Points

The combined finishes (points) of all two players becomes the team ranking/seeding. Calculated by:

  • Each individual player's best finishes, in terms of ranking points, in FIVB sanctioned events within the last 365 days up to the day of General Technical Meeting. Maximum of 4 events.
  • Plus each individual player's best finishes, in terms of ranking points, in AVC sanctioned events including Multi-sport and zonal/regional events within the last 365 days up to the day of General Technical Meeting. Maximum of 4 events.
  • Only 1 Multi-sport or Zonal/Regional event to be included in total.
  • Only 1 AVC Championship event to be included in total.

Preliminary Inquiry & Technical Meeting

Attendance to the Preliminary Enquiry and Technical Meeting is mandatory for both team athletes. Athletes must bring their uniform, including any headgear, armbands or other pieces of uniform intended to be used during matches for approval of the Technical Delegate.

The detailed match-up schedule will be confirmed after the completion of the General Technical Meeting.

Training

  • Official training starts from 2 June 2026
  • Training session reservations can be made no more than 24 hours in advance.
  • Each team is entitled to make one reservation per day (i.e. teams cannot reserve multiple training sessions for the week ahead).
  • Additional training sessions may be possible only if courts are available.
  • Athletes must register in the training booking platform at least 24 hours before the intended session.

Prize Money

US$ 10,000 prize money per gender to be paid by the organizer to main draw teams as per following breakdown:

Mixed Zones & Press Conferences

Athletes may be asked to attend mixed zone interviews after each match, while still in competition uniform. The scheduling of press conferences will be communicated to athletes in advance. All athletes are required to attend the press conference(s), if requested.

Accommodation & Others

Accommodation

  • The host organizer will cover full board and lodging for Main Draw players (twin bedrooms) from the official arrival day until breakfast on the day after elimination.
  • The host organizer will not cover reserve teams/extra players who are not in the Main Draw.
  • The host will not cover the accommodation of coaches, team physiotherapists, guests or family members accompanying the participating athletes.
  • All participants will be personally responsible for all extras at the hotel such as mini-bar, phone calls, etc. including any damage incurred to the room. Payments must be made upon checkout.

Accompanying Referees

  • One accompanying referee MAY be nominated by NFs entering 2 teams in AVC Beach Tour.
  • The names and number of accompanying referees should be approved by AVC in advance.
  • The host organizer will provide accommodation and per diem for a maximum of two (2) accompanying referees for this event. Any additional referees, or those submitted after the quota has been reached, shall have their accommodation covered at their own expense.

Transportation

  • Players and team officials have to be responsible for the domestic flight vice versa (if any).
  • The organizer will arrange local transportation and welcome all participants at the mentioned airport.
  • Travel details must be sent to the event office before 15 May 2026.

Accreditation

Accreditation will be required by all athletes, coaches and team officials, AVC officials, referees, VIPs, media, technical staff, court personnel, volunteers, vendors, etc. Only those with appropriate accreditation can access designated venue areas.

Team will be required to send head-shot photo for accreditation issuance.

The accreditation information must be sent to the organizer before 5 May 2026.

Catering

  • The organizer will provide all three meals for Main Draw players from the official arrival day until breakfast of the official departure day.
  • The organizer will provide all three meals for referees and AVC officials (breakfast, lunch and dinner) at the official hotel from the official arrival day until breakfast of the official departure day.

Medical Services & Procedures

During Competition & Training

  • There will be first responders with an ambulance on standby at the venue.
  • AVC reserves the right to perform random anti-doping controls, as per FIVB rules and regulations.

Out of Competition & Training

  • There will be the option to arrange first aid treatment in the hotel.
  • If more treatment is necessary, local organizer will provide transportation where needed.

In the case of an emergency, the host organizer will provide first responders and transportation all the way to the hospital and back. The cost of treatment will be covered by the athlete concerned. Each individual athlete is obliged to have their own insurance.
